Our Commitment to ESG
At Fernwood Events, we recognise that responsible business
practices are an important part of delivering professional, sustainable and
ethical event services.
As a global venue-finding agency, we work with clients,
venues, hotels, destinations, Destination Management Companies (DMCs),
transport providers and other event suppliers around the world.
We aim to conduct our business responsibly, ethically and
transparently and, where appropriate, encourage our clients and suppliers to
consider environmental, social and governance factors when planning and
delivering events.
Our ESG approach is proportionate to the size, structure and
nature of Fernwood Events and is reviewed periodically as our business develops
and as relevant legal and regulatory expectations change.
Environmental Responsibility
Meetings, conferences, incentives and other events can have
environmental impacts.
Through our venue-finding and sourcing activities, we aim to
help clients consider more sustainable options where these are appropriate,
available and consistent with the client’s requirements.
Where relevant to an enquiry, we may consider factors
including:
We also seek to reduce unnecessary paper and administrative
processes through digital communications, online enquiry systems and electronic
documentation wherever practical.
Environmental information provided by suppliers
Environmental information relating to venues, hotels,
destinations and suppliers is generally provided to Fernwood Events by the
relevant third party.
We may consider information supplied by a venue or supplier
when presenting options to a client, but we do not independently certify,
verify or audit the environmental claims, certifications, measurements or
sustainability performance of third parties unless expressly stated otherwise.
Where a particular environmental certification,
sustainability standard, carbon calculation or other environmental claim is
material to an event, we encourage clients to undertake their own due diligence
and obtain appropriate evidence directly from the relevant supplier.
Fernwood Events does not guarantee that a supplier’s
environmental claims are accurate, complete or independently verified.
Social Responsibility
Fernwood Events is committed to treating people fairly,
respectfully and professionally.
We aim to maintain positive relationships with our
employees, clients, suppliers and business partners and expect appropriate
professional standards of conduct throughout our business relationships.
Our social responsibility approach includes:
Where an event has specific accessibility, dietary,
cultural, safeguarding or other inclusion requirements, we will seek to
communicate those requirements appropriately to relevant suppliers and assist
clients in identifying suitable options.
Ethical Supply Chain
Fernwood Events relies on a network of independent hotels,
venues, DMCs, transport providers and other event suppliers.
We aim to work with reputable suppliers and expect our
business partners to operate lawfully, ethically and professionally.
Where appropriate and relevant to an enquiry, we may
consider supplier information relating to:
We recognise that Fernwood Events does not control the
policies, employees, working conditions, environmental performance or business
practices of independent third-party suppliers.
Supplier information is therefore considered on the basis of
information available to us.
Where particular ethical, sustainability, labour,
accessibility or certification standards are essential to an event, clients may
wish to undertake additional due diligence or request supporting evidence
directly from the relevant supplier.
Modern Slavery and Human Trafficking
Fernwood Events supports the principles of the Modern
Slavery Act 2015 and does not tolerate slavery, servitude, forced or
compulsory labour, human trafficking or other forms of exploitation within our
own business activities.
Given the size and nature of Fernwood Events, we take a
proportionate and risk-based approach to modern slavery.
We seek to work with reputable suppliers and may raise
concerns or seek further information where circumstances indicate a potential
modern slavery, human-trafficking or labour-exploitation risk.
We expect suppliers and business partners to comply with
applicable employment, labour and human-rights legislation.
Where we become aware of credible concerns relating to
serious exploitation within a supplier relationship, we will consider
appropriate action proportionate to the circumstances.
Governance and Ethical Business
Good governance is central to the way Fernwood Events
operates.
We aim to conduct our business honestly, transparently and
in accordance with applicable UK laws and regulations.
Our governance principles include:
Fernwood Events does not offer or accept improper payments,
inducements, secret commissions or benefits intended to improperly influence
business decisions.
Any legitimate commission arrangements with hotels, venues,
DMCs or other suppliers are intended to be transparent and commercially agreed.
Data Protection and Privacy
Responsible management of personal information forms an
important part of our governance approach.
Fernwood Events is committed to handling personal
information responsibly and in accordance with applicable UK data-protection
legislation.
Our approach includes consideration of the principles of:
We maintain a separate Privacy Policy explaining in greater
detail how Fernwood Events collects, uses, shares, stores and protects personal
information.
Our Privacy Policy also explains:
Cybersecurity and Information Security
We recognise the importance of protecting information
provided by clients, suppliers, employees and other business contacts.
We take reasonable and proportionate measures to protect
business and personal information against unauthorised access, loss, misuse,
alteration or disclosure.
Our approach may include:
Where third-party technology platforms or service providers
are used in our business, we seek to use reputable providers and consider
relevant privacy, contractual and security requirements.
No organisation can guarantee that information systems will
be completely free from security risks. We therefore take a proportionate
risk-based approach and review our practices as our business and technology
develop.
Responsible Client and Supplier Relationships
We aim to build long-term relationships based on trust,
transparency and professional conduct.
Where clients provide specific ESG, sustainability,
accessibility or ethical-sourcing requirements, we will seek to take those
requirements into consideration when sourcing suitable venues and suppliers.
However, the availability, accuracy and completeness of
sustainability and ESG information may vary between suppliers and destinations.
We therefore encourage clients to verify any specific
environmental, social, ethical or certification claims that are material to
their event.
Where a supplier’s certification or ESG performance is a
critical requirement, clients should obtain appropriate supporting
documentation directly from the supplier.
Accessibility and Inclusion
We recognise that events should be planned with
accessibility and inclusion in mind wherever reasonably possible.
Where clients identify accessibility or inclusion
requirements, we aim to communicate relevant requirements to appropriate venues
and suppliers and identify suitable options.
These requirements may include:
Availability and suitability of facilities can vary between
venues and destinations.
Clients should therefore confirm critical accessibility
requirements directly with the relevant venue or supplier before making a final
booking.
Responsible Use of Technology and Information
Fernwood Events uses digital systems and third-party
technology to support the operation of our business.
We seek to use technology responsibly and to consider
privacy, security, reliability and data-protection requirements when selecting
and using third-party services.
Where personal information is processed through technology
platforms, our Privacy Policy explains the relevant approach to personal-data
protection.
Continuous Improvement
As Fernwood Events grows, we will continue to review our ESG
practices and consider reasonable opportunities to improve our environmental,
social and governance performance.
Our ESG approach is intended to be practical, proportionate
and appropriate to our business activities.
We will review this statement periodically and update it
where our policies, practices, business activities or regulatory obligations
materially change.
